PTO CHAIRS DUTIES
​
Some Chairs Positions fulfill 30 required volunteer hours, others fulfill 15 hours.
All Chairs shall attend General Meetings
Flyers and advertisements are the responsibility of the Chairperson(s).
Forms, flyers and advertisement should be submitted to the President
to obtain approval from the Principal and to be forwarded to the Electronic Media Chairperson(s) for posting on FaceBook,
as well as to the proper board member to be posted on PTO newsletter, and take home flyers.
All Chairs must promote their events, fundraisers and/or activities.
ROOM PARENT LIAISON ELEMENTARY SCHOOL
Helps with classroom events sponsored by the PTO.
Helps the PTO to find volunteers.
Help the PTO promoting events and fundraising activities.
This position automatically fulfills the 30 required volunteer hours for the school year.
ROOM PARENT LIAISON MIDDLE SCHOOL
Helps with classroom events sponsored by the PTO.
Helps the PTO to find volunteers.

SUNSHINE APPRECIATION CHAIR
The Sunshine Appreciation Chairperson(s) is responsible for
providing a gift card to each member of IMAGINE CHARTER AT PLANTATION staff
on their birthday (which can be done monthly or quarterly).
Will send a card in honor of a family of an IMAGINE CHARTER AT PLANTATION PTO student who has experienced
a birth or death within the immediate family (mother, father, grandparent, or sibling),
step-relatives and guardians would be considered on an individual basis.
This Chair Is the contact for special needs such as coordinating with the PTO Classroom Liaison for the class support
of a student/family who may need help;
The Sunshine Appreciation Chairperson(s) is charged with working with the Principal, President, and Vice-President
to develop and carry-out events for Teacher Appreciation Week.
This position automatically fulfill 30 required volunteer hours.
CLASSROOM/TEACHER WISH LIST - HOLIDAY TIME
The money for these presents comes directly from the PTO
The money allocated to each present is set according to the PTO’s budget.
The volunteer must collect information, purchase items and ensure delivery to each teacher.
PIZZA FRIDAY LEAD
Coordinate this fundraiser event every week through the school year.
This Chair coordinates and provides a list of necessities for weekly drinks (if applicable), snacks, fruits, and paper/utensil
supplies to designated shoppers, as well as ordering the weekly pizza.
Will coordinate volunteers: shoppers and servers .
Room Parents/Classroom Liaisons will provide support to coordinate.
Create and/or manage SignUp Genius.

ICE CREAM WEDNESDAY
Coordinate this fundraiser event every Wednesday through the school year.
Will coordinate volunteers: shoppers and servers .
Room Parents/Classroom Liaisons will provide support to coordinate.
The Ice Cream Chairperson Lead is charged with coordinating and providing a necessities list
to shoppers for ice cream purchases on a weekly basis.
Create a SignUp Genius for volunteering opportunities.

PTO MOVIE NIGHT
Coordinate with the PTO Board members details and logistics.
Invite and coordinate volunteers.
Make sure the technological aspects of this event are working perfectly.

BINGO NIGHT
Coordinate volunteers - Create a SignUp Genius.
Coordinate with the Decorations Chair.
BOX TOPS
Promotes the collection of Box Tops.
Coordinates Collections and Prizes through the school year
Is in charge of setting up collections for box tops at least three (3) times a year,
The box tops need to be counted, calculated, and mailed in to Box Tops for Education for reimbursement.
Prints and Distributes Box Top Forms to all students via Room Parents.

FAMILY DINNER / STORE
The Family Dinner/Store Chairperson(s) is in charge of coordinating with local restaurants or stores
where our families can meet for dinner or dessert or shop (the dates/times must be approved by the Principal).
The arrangement with the food establishment/store is to include a percentage of proceeds donated back
to IMAGINE CHARTER AT PLANTATION PTO.
Coordinates with school staff members times to “meet” at the restaurants.

SCHOLASTIC BOOK FAIR
The Scholastic Book Fair Chairperson(s) is in charge of establishing and setting up a yearly Scholastic Book Fair.
As the acting liaisons between Imagine Plantation PTO and the Scholastic Representative,
must attend Scholastic workshop once during the school year;
Must be available for set-up the week prior to the Book Fair and take down on the last day of the fair;
Must be available for each day of the Book Fair (1 co-chair must be there each day)
acting as a Team Leader for the Volunteers.
Count the register at the end of each day and/or special event.
Coordinates events within the Book Fair: Plan Teacher's Sneak Peek, Grandparents Event, Family Night OR Day.
Coordinates decorations for the fair, Teacher's Wish List, and Goal Chart.

ELECTRONIC MEDIA
Update Facebook - Remind App, and other electronic means to communicate with parents and promote events.
Works closely with COMMUNICATIONS
PTO BULLETIN BOARD
The PTO News Bulletin Board Chairperson(s) shall use provided borders, letters,
any printed flyers and/or advertisement documents,
and brightly colored dry erase markers to make the bulletin board contents as eye catching, creative, appealing
and as highly visible as possible to parents in the carpool line.
In cases when the bulletin board must be shared for a birthday, the bulletin board must be divided evenly.

BOOK EXCHANGE
The Book Exchange Chairperson(s) is in charge of arranging and setting up book exchanges throughout the school year.
This position automatically fulfills the 30 required volunteer hours for the school year
SCHOOL DECORATIONS
The Decorator Chairperson(s) is responsible for decorating the school's public spaces, including but not limited to
hallways, doorways, and bulletin boards not occupied by teachers, for different seasons, major holidays, and special initiatives.
Create an acknowledgement bulletin board that highlights students who receive character and academic rewards.
Liaise with teachers and staff to keep bulletin board updated quarterly.
Coordinates decorations for special events like:
PTO Movie Night
Teacher’s lunch day during Book Fair
Teacher’a luncheon during Teacher Appreciation Week.
Coordinates Door-Decor with Room Parents prior to Teacher Appreciation Week.

STANDARDIZE TEST “SURVIVAL KIT”
The Standardized Test "Survival Kit" Chairperson(s) shall brainstorm an idea for a motivational goodie bag
for all students in the school who take the state- mandated standardized test in the spring (formally known as the FCAT)
PLEASE submit the idea and budget to the Executive PTO Board for approval on or before
February 1st of the current school year.
You will purchase the necessary supplies (all purchases to be reimbursed once receipt(s) submitted to the Treasurer
You will assemble the survival kits and coordinate distribution.
This position automatically fulfills 15 required volunteer hours for the school year

MOTHER’S DAY / FATHER’S DAY EVENTS
The Mother’s/Father’s Day Events Chairperson(s) for these specific events would have the responsibility
of ensuing the overall success of the event.
The event specifics including the dates/times of the Fundraisers must be approved by the Principal.

PRE-PACKED SHOOL SUPPLIES
The Pre-packaged School Supply Chairperson(s) is responsible for coordinating the
pre-packaged school supply sale for IMAGINE CHARTER SCHOOL AT PLANTATION.
Will be working with the teachers and administration to finalize their school supply lists.
Will work with the PTO Board members over the summer - between school years - to provide reports and
to coordinate a committee of helpers to
distribute the school supplies to the teachers once delivered.

CANDY GRAMS
Coordinates and oversees:
Friendship Grams for Valentines’ day
Birthday Grams through the school year.
Boo Grams for Halloween day.
Must Print and distribute Candy Gram forms.
Collects the Money and Gives it to our Treasurer.
This position automatically fulfills the 30 required volunteer hours for the school year.
BIRTHDAY GRAM - BOARD
Collect students names and Birthdates as well as payments.
Purchase and Decor the Birthday Board.
Update the Birthday Board when needed.

HOFFMAN’S CHOCOLATE
Coordinate the purchase and delivery of the chocolates.
Print, copy, distribute and collect the Pre-Sell Sheets.

TEACHER APPRECIATION WEEK LEAD
Coordinate and oversees Teacher Appreciation Week
With the PTO and Room parent’s help, this chair must create and coordinate events for every day during this week.
The budget and activities must be approved by the PTO.
Must order, purchase and distribute gifts.
Must create a sign up genius page for volunteers.
Appointing a Co-Chair is encouraged.

BACK TO SCHOOL - TEACHER’S GIFT
Coordinates with the PTO BOARD during the summer the Back to School Gift for our teachers.

DRESS DOWN DAY
Coordinate with the School and PTO Board dates through the school year.
Collect money during dress down days.
Create and Hand out Dress Down coupons during PTO general meetings.
PIZZA CARD
These cards are low cost, offer a high return, and are easy to sell.
Print, copy, distribute and collect the Pre-Sell Sheets.
NOTHING BUNDT CAKES

CHARITY AND HOLIDAY SPREE
The Charity/Holiday Spree Chairperson(s) shall afford the IMAGINE CHARTER AT PLANTATION PTO
the opportunity to do two (2) to three (3) charity projects which benefit others throughout the school year.
The Charity Chairperson(s) shall work with the President, Vice-President, Principal,
and/or Student Council and Service Club to develop appropriate projects.
Is in charge of setting up for the children's shopping spree which includes purchasing necessary gifts,
arranging for volunteers to act as personal shoppers, arranging for gift wrap and tape,
and arranging for volunteers to gift wrap.
Holiday Spree is NOT a mandatory annual function, however; if arrangements are possible,
it should happen in the weeks before winter break.
